KITIMAT MUSEUM & ARCHIVES

The Kitimat Museum & Archives is an independent, community-based, not-for-profit organization that preserves, interprets, and shares the cultural and natural heritage of Kitimat and the surrounding region. We are seeking a detail-oriented, organized, and community-minded individual to join our team as Manager, Finance & Administration.

This position is central to the smooth operation of the Museum, ensuring financial accountability, efficient administration, and a welcoming front-line presence for visitors. Reporting to the Executive Director, the Manager oversees bookkeeping and financial reporting, supports human resource functions, manages the Museum’s main office and gift shop, and provides excellent customer service to the public.

Role: Manager, Finance & Administration

Location: 293 City Centre, Kitimat, BC V8C 1T6

Wage: $35/hour

Schedule: 28 hours/week

Key Responsibilities

Finance & Bookkeeping

  • Maintain accurate financial records using Sage 50 accounting software.
  • Manage accounts payable and receivable, prepare cheques, reconcile deposits and credit card transactions, and maintain petty cash.
  • Prepare bi-monthly financial statements for the Executive Director and Board.
  • Assist with annual budgeting, grant reporting, and year-end financial review.
  • Prepare and file GST, PST, and BC Society Annual Reports.
  • Issue official donation tax receipts.
  • Liaise with the District of Kitimat payroll clerk to ensure timely payroll processing and benefits administration.

Administration & Human Resources

  • Oversee front-office operations and provide reception services to the public.
  • Support human resources functions, including scheduling, tracking leave, onboarding paperwork, and employee benefits administration.
  • Manage the Museum’s Saturday students
  • Support exhibition installations, events, and programs as needed.
  • Maintain accurate Museum records and statistics for reporting.

Gift Shop & Visitor Services

  • Supervise daily gift shop operations, including inventory, displays, and consignment items.
  • Order and manage inventory consistent with the Museum’s mandate.
  • Maintain and upgrade the point-of-sale system.
  • Manage contracts, inventory, and payouts of the Museum’s consignment gallery.
  • Provide a welcoming presence at the Museum, ensuring excellent visitor service.

Qualifications

  • Completion of a formal bookkeeping or accounting program at a recognized institution.
  • 3–5 years of bookkeeping/accounting experience, preferably in a nonprofit or charitable setting.
  • Proficiency in Sage 50 (Simply Accounting) or similar accounting software.
  • Knowledge of office administration and HR practices.
  • Strong communication, organizational, and problem-solving skills.
  • Retail and point-of-sale experience is an asset.
  • Ability to work independently and collaboratively in a small-team environment.
